A Favorite Event Rental Company: Preferred Party Rentals

Continuing our series of favorite event vendors, I’d like to share our experience working with event rental company Preferred Party Rentals.

When you are working on an outdoor event, the most arduous task is to create the event site from scratch, where none had existed before. At an indoor “white box” venue, you also start with a blank canvas, but you are not typically the first to create the space; there are established suggested configurations from past events.

Preferred Party Rentals works with us on our five annual Light The Night Walks for the Leukemia & Lymphoma Society, among other events. Three Walks take place on one Saturday, and two more the following Saturday. At each Walk, the event site is “created” from an empty park or parking lot. At each site, Preferred Party has a 5-hour set-up time, as they use at least 15 tents, 45 tables and chairs, and countless uprights and crossbars to hang all of the signage. That is a huge amount of event rentals. This event rental company even breaks down each event site in the near darkness!

Preferred Party Rental’s in-office staff is as personable and professional as their on-site team. While our repeat events start with a contract template from the prior year, each of the five sites’ contracts go through several revisions, and have many last-minute changes and additions the closer we get to event day.

For this event rental company, no event is too big or too small. In my personal life, I was on a committee that put together a 5K race in my hometown downtown – one tent and 26 tables were all the event rentals that were needed in a parking lot and a village green to create a pre-race check-in and post-race party. Preferred Party Rentals treated my event the same as our enormous event undertakings: promptly, courteously, and efficiently.

Now Associate Event and Office Manager, she has been the lead event planner on events for Autism Speaks, the Leukemia & Lymphoma Society and the Foundation Fighting Blindness, among others.
